- Records of communications between you and us, including SMS conversations with our automated booking assistant, phone calls, and emails

We do not intentionally collect sensitive information (such as health information, financial account details, or government identifiers) and ask that you do not include such details when contacting us.

2. HOW WE COLLECT PERSONAL INFORMATION

We collect personal information when you:

- Complete a contact, quote, or booking form on our website

- Message or respond to our automated SMS booking assistant

- Call, text, or email us directly

- Interact with our advertising (e.g. clicking through from a Facebook, Instagram, or Google ad and providing details)

3. AUTOMATED COMMUNICATIONS AND AI-ASSISTED BOOKING

We use an AI-powered conversational assistant to respond to enquiries, answer questions, and assist with booking appointments via SMS. This assistant:

- Is clearly identified as an automated assistant, not a staff member, at the outset of any conversation

- Is built on infrastructure provided by GoHighLevel and operates using a third-party artificial intelligence language model provided by OpenAI

- May use information you provide during the conversation (such as your name, vehicle details, and preferred appointment times) to assist in scheduling and to improve response accuracy

- Can be escalated to a human team member at any time upon request

Messages sent to and received from this assistant are processed and stored using the third-party service providers described in Section 4.

4. DISCLOSURE TO THIRD PARTIES

We do not sell your personal information. We may disclose personal information to the following categories of third-party service providers, who assist us in operating our business:

- GoHighLevel — our customer relationship management (CRM) and marketing automation platform, used to store enquiry and booking details and to manage SMS/email communications

- Twilio — our SMS and telephony infrastructure provider (used either directly or via GoHighLevel's integration with Twilio) for sending and receiving text messages

- OpenAI — the provider of the AI language model that powers our automated conversational booking assistant

- Make.com — an automation platform used to process and route enquiry data between our systems and trigger follow-up communications. Where a communication fails to send, data may be temporarily retained by this platform to allow the process to be safely retried

Anthropic (Claude) — an artificial intelligence service used to compare enquiry and customer records for the purpose of identifying duplicate entries and maintaining accurate business records

- Advertising platforms (such as Meta/Facebook and Google), where you have engaged with our advertising, for the purposes of measuring campaign performance

- Our accounting, payment, or other operational service providers, where relevant to fulfilling a service you have requested

We require our service providers to handle personal information securely and only for the purposes for which it was disclosed.

5. OVERSEAS DISCLOSURE OF PERSONAL INFORMATION

Some of the third-party service providers listed above (including GoHighLevel, Twilio, OpenAI, and Anthropic) store or process data on servers located outside Australia, principally in the United States. GoHighLevel's infrastructure is hosted on Google Cloud Platform and secured in transit and at rest using industry-standard encryption.

Where personal information is disclosed to overseas recipients, we take reasonable steps to ensure those recipients handle your information consistently with the Australian Privacy Principles; however, you should be aware that overseas recipients may not be subject to the Privacy Act 1988 (Cth) and that, in providing your information to us, you consent to this overseas storage and processing.

6. PURPOSE OF COLLECTION AND USE

We collect and use personal information to:

- Respond to your enquiry and provide a quote

- Schedule, confirm, reschedule, or follow up on bookings

- Deliver the mobile detailing, window tinting, or other service you have requested

- Communicate with you about your service, including automated appointment reminders

- Comply with our legal obligations

7. DIRECT MARKETING AND SMS COMMUNICATIONS

Where you have provided express consent, we may send you marketing communications via SMS or email regarding our services, offers, and promotions, in accordance with the Spam Act 2003 (Cth). Every marketing message we send will:

- Clearly identify Eastern Shore Car Care as the sender

- Provide a functional way to opt out (e.g. replying "STOP")

We will action opt-out requests promptly and in any event within the timeframe required by law.
